Join our Operations Team as a Port Delivery Guides Scheduler in Singapore. In this role, you will support the operational planning, Staffing/guides coordination, and administrative processes related to seasonal hostess/guides that supports cruise operations services.
The role is responsible for ensuring onboarding coordination, operational follow-up, accurate planning within HR deadlines, compensation administration control, and employee lifecycle management through internal systems and cross-functional collaboration. 
This position plays a key role in maintaining operational staff/guides continuity, ensuring staff/guides availability, supporting compliance with labor procedures, and improving staffing planning efficiency during all stages of the operational season.
The position acts as a central coordination point between Operations, HR, Payroll, OSD, and external staffing agencies to ensure timely staffing coverage and accurate operational execution.

Intercruises Shoreside & Port Services is a specialist business providing cruise ship handling services to cruise lines in destinations throughout the world. You will be working closely with various cruise lines and their clients in their daily operations in Singapore.

ABOUT YOU

  • Strong organizational and administrative skills with high attention to detail.
  • Ability to manage multiple operational workflows simultaneously in a fast-paced environment.
  • Experience working with planning, scheduling, or staffing coordination processes is an advantage.
  • Strong analytical and problem-solving skills.
  • Comfortable working with operational systems, Excel files, and large volumes of data.
  • Strong communication and stakeholder coordination skills in an international environment.
  • Ability to manage operational pressure, last-minute changes, and shifting priorities.
  • Experience coordinating with cross-functional teams and external suppliers/agencies.
  • Knowledge of labor-related operational processes and workforce administration is desirable.
  • Interest in cruise operations, tourism, logistics, or workforce planning environments.
  • Advanced level of Microsoft Excel and Microsoft Office tools.
  • Experience with operational planning systems (ISP, ASX, Jira, Teams, etc.) is an advantage.
  • Fluent written and spoken English required. Additional languages are considered a plus.

ABOUT THE JOB

  • Support onboarding and seasonal activation processes for operational staff/guides.
  • Maintain and update employee information, skills, availability, and operational records in internal systems (ISP).
  • Support recruitment and interview process with OSD, Ops and HR.
  • Manage operational scheduling and dossier planning services to ensure operational coverage within Operational and HR deadlines.
  • Monitor operational changes, cancellations, expired tasks, rejected assignments, and last-minute staffing/guide requests.
  • Coordinate with external staffing agencies when additional staff support is required.
  • Support employee lifecycle administration processes including onboarding, resignations, NSPP cases, and payroll.
  • Create, plan and monitor compensations and labor-related operational adjustments.
  • Prepare and maintain operational reports, workforce trackers, and compensation calculations.
  • Coordinate operational communications with employees and internal stakeholders.
  • Act as point of contact for all staff/guides in relation to questions/enquiries/suggestions.
  • Participate in cruise line mandated training sessions to ensure operational compliance.
  • Train and support new staff/guides on cruise line policies, procedures, and operational standards to ensure compliance, consistency, and readiness for turnaround operations.
  • Support terminal, airport and hotel operations, including walk-throughs, first-shift orientation, and the delivery of turnaround/shorex services to cruise line clients.
  • Maintain accurate and up-to-date staff records, availability data, and operational databases.
